Your Domain, Hosting & Email: What They Are and What You Actually Need

You’ve decided to get a proper website. Or you’re upgrading the one you’ve had since 2017. Either way, at some point someone’s going to mention domains, hosting, and email – and if your eyes glaze over, you’re not alone.

Here’s the breakdown, starting with a simple analogy we use with every client:

  • Your domain = your home address
  • Your hosting = the rental house
  • Your email hosting = the rental mailbox at the front

Each one is a separate thing. Each one matters. Here’s what they actually do.

Your Domain: The Home Address

Your domain is your website address — the thing people type in (or click on) to find you. Something like:

yourbusiness.com.au

Your website needs a domain the same way a shopfront needs a street address. Without it, no one knows where to go.

You purchase your domain through a domain registrar — a company that sells and manages website addresses. You don’t own it outright; you renew it annually or every couple of years to keep it active.

What makes a good domain:

  • It matches your business name (or is close to it)
  • It uses .com.au if you’re an Australian business – this builds local trust and helps with Google rankings
  • It’s easy to spell, say, and remember
  • No hyphens or random numbers

Two ways to handle your domain:

Option A — You manage it yourself. Purchase through a registrar like GoDaddy or auda.org.au. Keep your login details safe, and share access with us during the build. We’ll handle the technical setup on our end.

Option B — We manage it for you. If you’d rather not deal with renewal reminders, DNS settings, or login portals, we can register and manage your domain on your behalf. Domain management sits under our Hosting, Domain & Plugin Management service and is billed annually.

Your Hosting: The Rental House

If your domain is the address, hosting is the actual house.

Hosting is where your website lives — a server running 24/7 that stores all your website’s files, images, code, and content, and makes them accessible to anyone who visits your site.

Without hosting, your domain has nowhere to point. Your website can’t load. Google can’t find you.

Why hosting quality matters:

Poor hosting means slow load times. Slow load times mean people leave before your page even opens. For a regional business counting on every enquiry, that’s a real problem. Good hosting gives you fast speeds, secure servers, daily backups, and reliable uptime — and someone to call if something breaks.

What you need depends on your platform:

If you’re building on WordPress, you need separate hosting. You can use your own provider (we’ll connect everything during the build), or use our managed hosting where we handle setup, renewals, security, and plugin subscriptions. Billing is monthly, quarterly, or annual.

If you’re on Squarespace, Showit, Shopify, or Wix, hosting is already bundled into your platform subscription. You just need to create your account, sort your domain, and give us access.

Your Email: The Mailbox

A professional email address uses your domain — not Gmail, not Hotmail, not the free address your internet provider gave you.

So instead of yourbusiness@gmail.com, you’d have:

It sounds like a small detail. It isn’t. When a potential client receives a quote or invoice from a @gmail address, there’s an immediate (often unconscious) question mark. It signals a business that hasn’t quite backed itself. A domain-based email removes that doubt before it forms.

It also means your emails are less likely to land in spam, your branding stays consistent across every touchpoint, and you can add team addresses as you grow.

Your Email Hosting: The Rental Mailbox

Having a domain doesn’t automatically give you a professional email. You also need email hosting — the service that manages the actual sending, receiving, and storage of your emails under your domain name.

Your domain is the address on the letterbox. Email hosting is what makes the letterbox work.

The two most common options are:

  • Google Workspace — Gmail’s interface, with your domain. Familiar, reliable, and works with Drive, Meet, and Calendar.
  • Microsoft 365 — Outlook’s interface, with your domain. The better fit if your team already runs on Microsoft tools.

Both are separate paid services to your website, and both include spam protection, secure storage, and room to grow.

How It All Fits Together

These three things don’t have to come from the same provider — what matters is that they’re correctly connected.
